Project Managers, Use Gap Analysis to Your Advantage

Gap analysis helps you to understand the difference between your expected business or team performance and actual achievements. Be it resource management or sales figure, this gives you a clear picture of the improvement areas. To assist in understanding situations better, Clarizen’s article describes gap analysis and how you can utilize it to your advantage.

Gap Analysis and Project Management

Project managers must conduct a gap analysis to understand projects better and align them with corporate goals. You can identify issues or opportunities early and help stakeholders perform informed decision-making. Gap analysis includes the following activities:

  • Analysis of performance
  • Comparison of actual and estimated outcomes
  • Recognition of pain points and achievements
  • Update of processes to suit the current environment and expectations
  • The clarity in stakeholder activities

Steps to Follow:

  • Leverage data to prove your points regarding the condition the company or project is currently in. Use data from sales, production, resource schedule, etc. for gap analysis. Thanks to the digital age, you can collect a huge amount of data from almost all in-house systems.
  • SMART goals (Specific, Measurable, Attainable, Relevant, Time-bound) allow you to define goals and move towards them. You will know in the end the goals you need to pursue and prioritize those on a daily basis.
  • Find out the gaps in performances, processes, functions, resource skills, etc. to understand why you are still lagging. Make sure you have the accurate data points as overdoing or underperforming gap analysis can lead to disastrous results.
  • Document or describe the activities your teams are currently involved in. This will curtail any discrepancies or misunderstanding going forward.
  • Once done with the gap analysis, come up with solutions that would address these issues. Analyze processes or have brainstorming sessions with stakeholders for a collaborative effort.
