How to Master Time Management

There seem to be a million things on a project manager’s plate, but the most important one of these is the clock. Time management is more important than the tasks themselves, but how do you manage your time properly to get the most out of it? In a post for Project Management Tips, Elizabeth Harrin explains how to go about time management.

Getting Down the Timing

Managing your time requires setting deadlines. These may be completely made up, but as long as they function as a way to measure progress, they’re doing their job. They will help you track your progress and limit procrastination on your part. Your team has to hold to these deadlines, real or not, and be aware of the consequences of not meeting these deadlines.

Harrin also says you need to look for areas to trim back on the requirements:

This might sound counter-intuitive. And I don’t recommend slashing your project requirements when you are working on a project – you can’t do that without the appropriate change control processes and permission from your sponsor.

You can, however, make sure that for your own work you are doing the requirements in the slimmest, smallest possible way. By that I mean: don’t gold plate your own work. Yes, you need to create a good looking, comprehensive project initiation document.

But it doesn’t have to be a work of art that takes you a whole week. As long as it is fit for purpose and meets the standards, that’s good enough.

It can be really easy to get distracted at work. New things pop into your inbox, new people pop into your space, and new invites may pop onto your radar. It can all derail your plans, but you have to be able to stand firm in your goals for the day. Speaking of which, your goals should be dictated according to what prioritizing your task list has told you is important. Just remember to prioritize the occasional break here and there too, to cut back from the intensity of the workday.
