How to Conduct Productive Meetings

We always dream of productive meetings. We hope those would end before time and cover all the agendas. Such events are rare even if these meetups are necessary to run the organization well. So, you drag yourself to those dull conferences and see people stare blankly at you at times. How do you get out of that mess? In this article at Girl’s Guide to Project Management, Elizabeth Harrin provides four tips to help you conduct productive meetings.

Tips for Productive Meetings

For fear of conducting a drab conference yourself, you must have gone through several articles on the Internet. They suggested reducing the time, the number of attendees, and the number of discussions too. You might have had meetings on how to do meetings! However, Harrin has four suggestions that could release your tension:

Prepare

How many times have you gone to a meeting with all the answers ready? Instead of inviting all, choose people whose opinions matter. Set goals that enable people to understand your purpose for assembling them. Compile topics or questions that you want to discuss. Ask people to have their insights ready before the meetup to prevent a follow-up conference soon after.

Use Visual Approaches

Charts, diagrams, and infographics can display and deliver a large amount of information shortly and crisply. Ensure they are connected so that people can join the dots. These visual aids allow you to remember your train of thought and stick to the schedule as well.

Take Notes

Productive meetings happen when people take note of actionable items and work on them soon. Instead of wondering or believing that someone should have taken down all the points, assign a team member to write down the meeting’s minutes. Share with all the participants after you are done.

Assign Roles

Since all meetings have actionable steps, ensure you have owners of all the tasks before leaving the room. Do not assume that people will know by default which tasks they should take up.
