Communication: Key to Right Client Expectation

Project management is not only about tasks and schedules, it is also about making the clients happy by delivering the desired outcomes. Effective client communication is the key to ease the pressure and achieve project success.

In this article at Team Gantt, Laura LaPrad explains the importance of client communication as a project manager. Effective client communication helps in building trust and delivering other perks like aligned project timelines, budgets, and deliverables.

Set Clear Expectation

To get your working relationship off on the right foot, it’s important to establish parameters, timelines, and deliverables up front and honor those agreements. To ensure this is never overlooked, here are six ways:

  1. Raise Queries: Questions are powerful enough to ensure if you are working towards client needs or not. Do not hesitate to ask questions—no matter how simple or silly it seems. It shows the clients that you are responsible enough to deliver desired outcomes.
  2. Project Plan: Reviewing the project plan with the client encourages discussion about the details and set clear expectations before the project gets underway. It also serves as a go-to resource for questions or issues as the project is launched.
  3. Standardize Methods: Different ways of communication may lead to overlooking details. Avoid this by working with your client to determine how and when certain types of information will be communicated to them.
  4. Introduce Communication Tools: Communication and project management tools encourage collaboration. It eases the process of sharing project updates and keeps all the essential project files and discussions updated in one place.
  5. Regular Pace: Regularly update the project progress to calm the client’s fear. If the clients are sure of receiving a weekly status update, they will not ask for random updates in between.
  6. Set an Agenda: Be sure to provide relevant documents in advance and outline assignments for agenda items. It will help everyone in the team or meeting participants to prepare for a productive discussion.
