The practice of keeping track of the project progress in a well-planned manner is known as a project evaluation process. The method helps the project manager to keep a close watch on each stage and process in the project while making it easier to keep the stakeholders informed.

The Three Stages

The project managers need to evaluate their work at three touchpoints: pre, ongoing, and post-project evaluation. The pre-project evaluation is the initial phase of a project to chalk out planning, staffing, and various other crucial decisions while taking over a new project.

Ongoing evaluation is the second stage when the project is already in the execution process. At this point, the project manager needs to monitor and report if the project is progressing in the planned manner, that too, within the pre-decided time frame.

Post-project evaluation is the scrutiny of everything that makes a project possible. Be it project team, data, or even some project-related resources, everything has been analyzed at this stage to ensure seamless progress of current and future endeavors. To evaluate all the project process at the three stages mentioned above, the project manager needs to assess the project at various phases.

Phases of Project Evaluation

Irrespective of what method the project manager chooses to evaluate the project, its process must include these four phases:

  1. Project evaluation planning: It must revolve around stakeholder’s small and long-term expectations with the project. The best way to understand the project objective is to question the stakeholders. This method will not only clarify project goals, but it will also help in building a strong relationship with the stakeholders.
  2. Implementing what’s planned: Once planning is done, next step is the implementation of the plan. This phase decides many crucial facts like whether the project is progressing on time and within desired budget. Also, observe the percentage of project being finished by the teams along with quality analysis.
  3. Task completion: Once the project is finished, evaluate the data gathered and resolve all the issues you discover in the project process.
  4. Reporting result: As soon as the project evaluation is done, list out essential learning for the future endeavors. Share the progress reports with the stakeholders in their preferred format and keep them in the loop.
