Maintaining Transparency during Difficult Projects

Maintaining transparency can score you big points with your stakeholders, because they have a clear understanding of everything going on. However, transparency can be difficult to keep up in a sea of projects. In a post for Duration-Driven, maintaining clarity for stakeholders is elaborated on. There are four key factors that will ultimately create transparency:

  1. Communication
  2. Consistency in communications
  3. Information
  4. Determination


The most powerful and important tool that project management offices (PMOs) have in their arsenal is communication. PMOs need to openly communicate schedules with stakeholders and be honest in changes. Communication is a collaborative effort, and it is equally as important for stakeholders to ask questions. The best way to ensure that communications are streamlined is to have a specific system in place to submit questions.

In order for stakeholders to have faith in the PMO, there needs to be consistent delivery of progress and communications. When communications start to slip and there are not consistent conversations, stakeholders will likely pull away. This all causes damage to the relationship, and it may be permanent. The best way to avoid this is to assign a few essential people to be in charge of maintaining communications.

The data that is used on projects will either entice or deter stakeholders. People want to see that the information is accurate and based on reason. Making the information available to others outside of the PMO can allow for review and scrutiny from outside eyes, which may help to catch errors.

Determination in the context of the PMO simply means that the PMO takes on the mindset that they will have input on how decisions are made. According to the article, “Adherence to best practices and a proven planning and control methodology is the best way to resist this kind of potentially destructive pressure.” The PMO should never feel as though they are compromising on important elements.
